Terms & Conditions/Privacy Policy

Booking and Confirmation

  • Bookings can be made via email, phone, or our website.
  • A booking is only confirmed once you receive written confirmation from us and (if required) a deposit or payment is received.

  • By booking a course, you agree to these Terms and Conditions.

Payments

  • All courses are charged per attendee, unless a flat rate is agreed in writing.

  • Full payment is typically due [7] days after the course start date, unless stated otherwise on your invoice.

If payment is not received by the due date, we reserve the right too:

  • Withhold all participant certificates until full payment is received.
  • Charge a late payment fee of £40 on overdue invoices, in line with the Late Payment of Commercial Debts (Interest) Act 1998.

  • Refer the outstanding amount to a debt recovery agency or pursue legal action to recover the debt, with any associated costs added to the total amount owed.

Venue Hire (if applicable)

  • Where we arrange or book a training venue on behalf of the client, the full cost of venue hire will be added to the final invoice and is the responsibility of the client. Alternatively, clients may provide a suitable venue at their workplace, or book a venue themselves, that meets training requirements (e.g. space, seating, lighting, accessibility, toilets). It is the client’s responsibility to ensure the venue is safe, accessible, and fit for purpose.

Minimum Attendance and Charges

  • The number of attendees must be confirmed at least 72 hours prior to the course date.

  • If fewer participants attend than were originally confirmed, the full agreed cost remains payable unless notice is given at least 72 hours in advance.

  • This covers preparation time, course materials, and trainer allocation.

  • Basic Life Support (BLS) courses are charged at a discounted rate of £35 per person for bookings of 6 or more participants. If fewer than 6 participants attend on the day of the course, and no written notice of the reduction is given at least 72 hours in advance, the discounted rate will no longer apply. In such cases, the client will be charged the standard rate of £40 per person for all attendees, or alternatively, may be charged the original group minimum (i.e. 6 x £35) to cover the reserved places — at our discretion. This policy ensures fair pricing based on group size and allows us to allocate resources appropriately.

No-Show Policy

  • Participants who fail to attend the course without prior notice will be charged at the full per-head rate.

  • No refunds or credits will be issued for no-shows.

Cancellations and Rescheduling

  • Cancellations made more than 7 days before the course date will be refunded in full (excluding non-refundable deposits, if any).

  • Cancellations made within 7 days of the course will be charged at 50% of the course fee.

  • Cancellations within 48 hours of the course or on the day will be charged at 100%.

  • Requests to reschedule will be accommodated where possible, but may incur an additional deposit.

  • If a course is cancelled by the client after a venue has been booked, the full venue hire cost remains payable, regardless of the cancellation notice period.

Substitutions

  • Substituting one participant for another is permitted at no extra charge.

Certification

  • Certificates are issued upon successful completion of the course and payment in full.

  • Replacement certificates may incur an admin fee of £30, if the course was held over 12 months prior to the request.

Trainer Rights and Conduct

  • We reserve the right to refuse training to any participant who is disruptive, under the influence of drugs/alcohol, or poses a risk to others.

  • In such cases, no refunds will be issued.

Client Responsibilities

  • It is the client’s responsibility to ensure participants arrive on time and are fit to take part.

  • The client must provide a suitable training space (if not using a venue booked by Frontline First Aid), with appropriate facilities.

Liability

  • We will not be held liable for any loss or injury incurred during training unless caused by our proven negligence.

  • It is the client’s responsibility to inform us of any participant with specific medical needs or learning requirements in advance.

  • We provide first aid training and certification in line with recognised guidelines and best practices. However, we are not responsible or liable for any actions taken by course participants after completing the training, including any first aid performed on others. It is the responsibility of each individual to apply their knowledge appropriately and within the scope of their training, and we accept no liability for misuse, negligence, or outcomes resulting from the application of first aid by attendees.

Force Majeure

  • We are not liable for delays or cancellations due to circumstances beyond our control (e.g., extreme weather, public health emergencies).

Governing Law

  • These Terms are governed by and construed in accordance with the laws of England and Wales.
